What is the overall purpose and objective of this position?

Receives callers at establishment, determines nature of business, and directs callers to destination by performing the following duties.

What are the major responsibilities of the position, and what percentage of time should they take?

Obtains caller's name and arranges for appointment with person called upon.

Directs caller to destination and records name, time of call, nature of business, and person called upon.

Types memos, correspondence, reports, and other documents.

Makes future appointments and answers inquiries.

Collects and distributes mail and messages.

Performs variety of clerical duties.

Is this position supervised in any way?

Yes, by the Administrator

Does this position have supervisory responsibility (i.e., responsible for hiring, firing, performance appraisals)?

No

Does this position have access to confidential information?

Possibly, in a limited way

Does this position have access to or handle company funds?

Possibly, if ordering company supplies or running errands

Is it important to this position to be able to communicate fluently in English?

Yes

What kind of work experience, training and/or level of education is necessary for this position? Any other special training and/or abilities?

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. One year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Any required technical skills (typing, computer skills, etc.)?

Must be able to type a minimum of 55 wpm; proficiency with Microsoft Office Suite; able to work on Windows-OS PCs and Macs; proficiency with multiple-line phone system.

Are there any particular working conditions associated with this position that should be noted (i.e., environment, hours, travel, work space, etc.)?

While required overtime hours are few and far between in general, overtime can and will be required at times to complete necessary tasks.

Physical Demands of Position

The occasional (10% or less) need to assist others in heavy lifting (> 50 lbs) may arise, as we are a small company with no maintenance staff to assist in furniture and other object relocation.
